Never Ending Sync - Downloads thousands of messages forever

I'm using the latest build ending 0726. Here's the issue I'm facing:

Every once in a while, while syncing (send / receive) the number of messages 
count keeps going up (to thousands) and does not stop even though Windows 
Live Mail is actually not downloading any messages. I have verified this in 
every folder including Quick View and know for sure since I don't actually 
have that many messages in my mailbox on the server.

This goes on non-stop till manually stopped. If I click Sync again, it 
correctly receives new messages and stops but then the bug repeats again 
after a few automatic syncs.

Is this a known issue and more importantly, is there a fix? Thanks.

This happens with AV enabled or disabled. 

I have a feeling this may be occurring when two (or more) systems try and 
download the same mail at the same time. Windows Mail and Outlook Express 
used to handle that by a simple "The message is gone" error and then go on to 
finish send receive. WLM seems to go into an indefinite number count.

This seems to be a bug that the Windows Live Mail team needs to look at.

Is 'testserver' the real name of the mail server or did you alter that 
for the post?

The  "-ERR Can't open the message file - it's gone!" comes from the mail 
server.  It indicates an error in the mail server.

The error you are getting suggests and error in either your anti-virus 
software, ant-spam or you are running something such as YPOPs to to 
access via POP3 a web based mail service that doesn't provide that for 
your account.

Programs such as YPOPs are fragile.  Any little change or quirk at the 
real mail server can break them.

With some anti-virus (and anti-spam) programs, simply disabling the 
e-mail scanning function doesn't really disable it.  It simply tells the 
program not to flag any messages.  It still processes all the messages 
and may still cause send/receive failures.  What you may need to do is 
uninstall the anti-virus program, then reinstall it using a custom 
install option and unselect the e-mail scanning component for 
installation.

Under what circumstances would two different computers be=20
downloading simultaneously from the same account?
It seems fishy because the mail server is supposed to only allow
access to a specific account from one computer at a time.

@Mike - I changed the real server name to testserver. It is a valid and working configuration.

The error "-ERR Can't open the message file - it's gone!" is occurring because two systems are simultaneously downloading the same mail and one of them has that particular message locked. I have had this error since early Outlook Express days because we have email IDs we download on multiple systems on which this error is common. The error occurs even with no AV on the system. 

The issue here is that the error never sent my mail program into a never ending download count. That's the problem I am facing only on Windows Live Mail. In fact I do not have this problem even with Vista's Windows Mail.

@Gary - Nothing fisy. We just have mail that needs to be downloaded and seen by multiple people.

Is this a major mail service or are you running your own local mail 
server?

As Gary said, you should not be able to simultaneously connect to the 
same mail account from two PCs or mail programs.  The second PC should 
get an error when it tries to sign in and immediately give up.

Either your POP3 server is not following the rules or some software in 
between WLM and the mail server (e.g. AV or Anti-Spam) is mucking things 
up.

They way POP3 works is that the mail program signs into the server with 
account name and password, then asks the server how many messages are 
available for download, and then asks for them one at a time.  If are 
leaving a copy of messages on the server or have messages rules with an 
action of Delete from Server or Do Not Download, the mail program will 
ask for information about each message before it decides whether to 
download it or not.

You may want to record a POP3 log to see exactly what is going on.  To 
enable logging in Windows Live Mail select Tools, Options, Advanced, 
Maintenance, Troubleshooting.  Check the box to enable and click APPLY. 
Run the Send/Receive/Synch, then click the box to uncheck and APPLY.

POP3 enables both POP3 and SMTP logging.

The logging information will be appended to WindowsLiveMail.log in the 
same location as the WLM Store Folder (click the STORE FOLDER button 
above Troubleshooting to see its location).

The WindowsLiveMail.log can grow to be very large.  You may want to 
rename (or delete) the current log file before starting logging in order 
to get a more manageable file size.  WLM will automatically create a new 
log file when needed if one doesn't exist.

We use Courier for POP3 which is default on cpanel (linux) servers and I suppose a cpanel system which is standard with a few thousand hosting providers would qualify as a major "standard" kind of service. Even otherwise, Courier implementations are fairly standard.

We have been using multiple systems accessing one mailbox for several years now and this is needed. I do not want to get into a discussion here that the mail server should or should not allow multiple connections. I use it and that isn't my concern.

The issue here is that when one connection is updating a certain message, another mail client cannot and at that point of time Windows mail goes into an indefinite number count. This should not happen under any circumstances. All older versions for mail software from Microsoft handled this error fine. This issue is with Windows Live Mail only.

If there is any hope of getting the problem fixed, you'll need to log 
the POP3 communication between WLM and the POP3 server to see what exact 
commands and responses are going on.

I had a very similar problem on 02-28-2010, and that's how I found this thread.

One of my mail accounts suddenly stuck on downloading thosuands of messages. 
It got over 100,000 at one point before I caught it and stopped it.

I logged onto my mail server via their Web portal, and deleted all of the 
mail in the inbox for that account, except two that it would not allow me to 
delete. WLM  continued to show thousands of downloads.

I logged back in, and found several mail messages in my trash file for that 
account that contained viruses from someone that I did not even know, on 
Facebook. I deleted all of them -- there were about ten -- and the two that 
were stuck in the inbox on the Web portal also disappeared.

The odd thing is that the viral emails had come into the inbox a couple of 
weeks ago, and just now caused the problem.

When I synched the mail again, the odd downloads had stopped and everything 
is back to normal.

Bringing back to life this thread, having the same poblem, I have concluded 
that checking email from two machines give this problems because of the 
differences in behavior in Windows Live Mail from Outlook Express and other 
email clients.

Excerpt from the log:

Yes, its an issue with WLM. Outlook / Outlook Express don't have this problem..

That is a problem with WLM.  It should give up with the error.

But there also appears to be a problem with the mail server.  Did the 
STAT command at the beginning of the session show at least 10012 
messages?

And it appears that just before the portion of the log you copied there 
would have been a UIDL command sent by WLM for that message.  That 
should have responded with an error instead of the UID response it got.

The mail server should not allow two mail programs access to the same 
POP3 account at the same time.  Once one programs logs into the account 
all other programs should be locked out until the first program issues 
the QUIT command.
