I need to send reminders of tasks to my resource people.
I heard it is possible to send tasks to outlook. How can I do it?

Hi,
this option is still available in Microsoft Project 2002, 2003, 2007 and
2010 -
how ever hidden. To show this feature, please perfom
the following steps for Project previous to 2010:
1. Go to "Tools/Customize/Toolbars"
2. Switch to tab "Commands"
3. Select "All Commands"
4. Scroll to "ReminderSet"
5. Drop the toolbar button on a toolbar of your choice
6. Click "Close"
For Microsoft Project 2010 take these steps:
1. Go to "File/Options/Quick Access Toolbar"
2. Under "Choose commands from" select "All Commands"
3. Scroll to "Set Reminder" and
4. Click "Add"
5. Click "OK"
Now you can add a reminder in your local Outlook as task with reminder for
selected Project tasks from you local MS Project.
Best,
Renke

Hi Silene,
I'd like to add that with versions newer than Project 98 it's not possible
to send these tasks directly to your resources out-of-the-box, how ever with
Project Server that's possible. Depending on the version you can use the
Outlook Add-in or the Exchange Server Integration. What's exact the scenario
you prefer?

On another note, every implementation I've been involved with that had email
reminders, turned them off within a short period of time as the emails were
treated as spam. Once you get more then one or two emails on a topic
regularly, users tend to create rules to dump them to the delete folder or
complain. So don't spend too much time or money on your solution!

I brought the reminder icon into MS project but I still don't know how to
send tasks from MS 2007 to the Outlook 2007.
I don't have Project Server and I don't know how to use the Outlook Add-in.

Silene,
My experience is as with Rod. A noticeable number of people often ask
for such functionality; then when provided it they abandon. It's been
years since I've had to deal with this.
Via Google "project tasks to outlook" I found for you
http://office.microsoft.com/en-us/project/HA010842281033.aspx
This document refers to Project 2003 which my recollection is the last
version of Project for which this was provided.
Project is best a tool to compute project schedule/costs and provide a
framework for project governance and reporting. It's not designed for
task management and attempts to make it be are usually not successful.

On second glance, this URL seems to refer to Project Server, which you
say you don't have. I guess just read carefully and experiment to see
if it can work without Server.

Hello Silene,
To use the set reminder in Project 2007:
- ensure the resource assigned to the task has an email
address. Double click the resource's name and enter an email
address for each resource.
- select the task and click the Set Reminder button.
- Look at the task list and the "To-Do bar" to see the reminders.
I hope this helps. Let us know how you get along.
