Year End Procedures

  • Follow

HI,
Does anyone have any very simple steps or procedures on closing gP 10
Modules IE: A/P A/R, we are so confused on the process how does 1099 amounts
get reset? Do you have to close year and run scripts in order for 1099
amounts to be right, We have one client who is trying to run 1099's and they
posted a check in 2010 n ow 1099's are last year amount plus the check of
2010, what is the process of not closing vs closing and how do we get 1099's
to match to 2009? Any help would be great, as well as INV,and GL closings
too. Thank You, Id di view the kb articles but they are so confusing and not
very clear my email is jims@em-powered.com if you would like to email me
there, Thanks

basically, the 1099 resets to 0 after running the "calendar" year end close
in AP. What I would recommend to the client is to NOT post any transactions
until the year has been closed. They can always save the trx to a batch and
then post it later on after YEC.

But since this is done, then you can manually edit the 1099 amounts to make
it correct. you can do this in the 1099 Details window(Cards >> Purchasing >>
1099 details), assuming you are on GP 10.0. and update the 1099 amount under
Cards >> Purchasing >> Summary >> Select a vendor ID >> Yearly button.

hth.

Jim,

Sorry, I disagree with this. I have not run into any issues with printing
1099's correctly for one year after posting transactions in the following
year. 1099's are based on payment dates and the GP 1099 functionality is
smart enough to separate years for the purpose of correctly printing 1099's.
A 2010 payment showing up on the 1099 for 2009 means something went wrong or
the date entered for the payment was not really in 2010.

My 2 cents on closing the Payables and Receivables subledgers yearly: the
ONLY reason to do this is if you use the Amounts Since Last Close inquiries
or YTD, LYR or LTD columns available in some of the SmartLists. Since most
companies are not able to make a clean 'break' between years, as is required
for these numbers to actually be correct, there is really very little
benefit to the yearly close for AR and AP.

Here is a blog post I wrote last year with year end close information,
except for the 2008 specific links, all of this is still valid:
