I am looking for a solution for the following issue:
In a non-profit organisation we work a lot with many different
‘commissions’, workgroups or projects.
These commissions have members with different roles (like member, chairman,
old-member).
I created two new entities: Commissions and Members to link persons to a
certain commission. This works fine.
Know we want to sent e-mails to the members of the commity.
So we have a selection of members under the commission and would like a
button ‘sent e-mail’, this should create one e-mail activity with all the
selected members in ‘To’ and the concerning commission in ‘Regarding’.
The e-mail activity should than be linked to the contacts as well as to the
commission.
This should work from the outlook interface.
What I found as non acceptable options:
- In the web-interface you can sent an e-mail to a selection of contacts,
but this creates individual e-mail to each contact and can only be based on a
template. It is not possible to edit the e-mail because no e-mail is opened
they are just sent in the background.
- In de outlook-client you can create a mail-merge for a selection of
contacts but the e-mail mailing via word is to complicated for these
end-users. You also create individual activities.
- Creating the e-mail in outlook is what they do now, but that gives no
solution for a one place registration of commission members.
Any suggestions are most welcome.
